Visitor Management

A Visitor Management System (VMS) for schools is a digital way to track and manage anyone who is not a regular student or staff member (parents, vendors, contractors, or guest speakers). Using RFID and digital tools makes the school much safer.

Here is a detailed brief on how it works and its benefits:

How the Process Works

This is the most common use of RFID in schools. Each student is issued an RFID-enabled ID card.

  • Check-in & Identification

  • Digital Registration: The visitor scans their ID (like an Aadhaar card or Driver's License) at a kiosk.

  • Instant Verification: The system checks the visitor against a "Watchlist" or "Blocklist" to ensure unauthorized people aren't entering.

  • RFID Badge Issuance

  • Photo Printing: The system takes a quick photo and prints it on the badge so staff can identify them.

  • Access Permissions: The RFID chip inside the badge is programmed to open only specific doors (e.g., the front office) and keep other areas (like classrooms) locked.

  • Real-Time Tracking

  • Alerts: If a visitor enters a restricted zone or stays past their scheduled time, an automatic alert is sent to school security.

  • Check- out

  • When leaving, the visitor taps their card one last time. This logs their exact exit time, ensuring the school knows exactly who is inside the building at all times.

Features to Include

  • Pre-Registration: Parents can book an appointment via a mobile app, receiving a QR code for faster entry.

  • Notification System: The moment a visitor checks in, the staff member they are meeting receives an SMS or Email.

  • Data Analytics: The school can see reports on how many visitors come daily and for what purposes.
